Job Title: Executive Assistant to President Hydrogen Association of India (HAI) & Office Bearers

Position Summary

The Executive Assistant supports the President, Vice‑Presidents, Secretary, and other senior office‑bearers of HAI in day‑to‑day coordination, documentation, scheduling, and stakeholder communication to ensure smooth functioning of the association and its hydrogen‑economy initiatives.
In addition, the role will actively contribute to expanding HAI’s membership base and strengthening industry engagement, thereby enhancing the association’s reach, influence, and impact in India’s hydrogen ecosystem.

Key Responsibilities

Meetings & Coordination
  • Schedule and coordinate board meetings, committee meetings, and high‑level stakeholder roundtables.
  • Prepare agendas, briefing notes, and decision‑trackers; record and circulate minutes and action points.
  • Track follow-ups with stakeholders to ensure timely closure of action items and decisions.
Communication
  • Draft official emails, letters, press notes, and briefing papers for senior office‑bearers.
  • Maintain and update membership records, correspondence files, and project‑related documentation.
  • Efforts for Enrolling new corporates & individuals members.
  • Ensure consistency in HAI’s messaging and branding across all official communications.
Membership Development & Outreach
  • Support expansion of HAI membership by identifying and reaching out to potential corporate, institutional, and individual members across the hydrogen value chain.
  • Assist in preparing membership pitches, outreach material, and engagement strategies.
  • Coordinate with senior office-bearers to convert leads into active members.
  • Track member engagement and suggest initiatives to enhance retention and participation.
  • Develop and maintain a structured pipeline of prospective members with regular status tracking.
Stakeholder & Event Support
  • Act as a liaison between HAI office‑bearers and member companies, government bodies, and partner organizations.
  • Assist in planning and logistics of conferences, webinars, and policy dialogues related to hydrogen and clean energy.
  • Support speaker coordination, invitations, and post-event engagement with participants.
Reporting & Compliance
  • Collate inputs from members and committees for progress reports, policy briefs, and annual updates.
  • Support office‑bearers in maintaining financial records as required.
  • Liaison with coordinators of student chapters for onboarding student members in different regions.
Research & Information Management
  • Track key policy developments, regulations, and global trends in hydrogen and clean‑energy sectors.
  • Compile data and pointers for senior office‑bearers to use in speeches, presentations, and media interactions.
  • Assistance in preparation of technical documents / white papers to be published by HAI
Desired Qualifications
  • Graduate degree (Bachelor’s) in Management/Mass Communication
  • Young dynamic professional with strong written and verbal communication skills; familiarity with government and corporate communication styles.
  • Proficiency in MS Office, email management, and basic data‑handling; willingness to learn digital collaboration tools.
Preferred Skills
  • Demonstrated interest or exposure to industry outreach, stakeholder engagement, or business development.
  • Ability to build networks and engage with senior professionals across industry and government.
  • Proactive mindset with the ability to identify opportunities for expanding HAI’s ecosystem and membership base.
